When you connect your AvaiBook property to Expedia, certain information can be automatically synchronized between both platforms.
Below, we explain what information is synchronized with Expedia and what data and settings you will need to manage directly through the portal.
✅ What information is synchronized?
Prices, availability and restrictions
The following information configured in AvaiBook is synchronized with Expedia:
Default rate: the rate configured in AvaiBook for the property's base capacity (minimum occupancy) is sent to Expedia.
Seasons: rates configured in AvaiBook seasons for the base capacity are synchronized.
Calendar and availability: available and unavailable periods in AvaiBook are updated on Expedia.
Minimum stay: the minimum stay restriction configured for the property is synchronized.
Check-in and check-out days: restrictions configured for the days on which check-in and check-out are allowed are synchronized.
Force weekend: if you have this restriction configured in AvaiBook, it will also be synchronized with Expedia.
Reservations
When you receive a reservation through Expedia, it is automatically registered in AvaiBook together with the information provided by the portal.
The following are also synchronized:
Reservation cancellations.
Date changes communicated by Expedia.
Card detail updates.
Guest details provided by Expedia, such as name, email address or comments.
Reservations received through other portals or through your booking engine are not sent to Expedia as reservations. AvaiBook updates availability to block occupied dates and prevent them from being booked again through Expedia.
Cancellations and refunds
Expedia reservation cancellations must be made through Expedia. Once the reservation has been cancelled, Expedia will send the information to AvaiBook and the reservation will also be cancelled in our system.
How a potential refund is managed will depend on where the payments are processed:
If payments are managed through Expedia: when the guest is entitled to a refund under the conditions of their reservation, you will need to manage it directly with Expedia.
If payments are managed through AvaiBook: when a refund needs to be issued to the guest, you will need to process it manually from AvaiBook.
Remember that cancelling a reservation does not automatically issue a refund when payments are managed through AvaiBook. If a refund is due, you will need to process it manually from our system.
❌ What information is not synchronized?
Certain information is not sent from AvaiBook and must therefore be configured and kept up to date directly in your Expedia account:
Additional guest pricing: this must be configured directly in Expedia.
Property capacity and occupancy: these are not synchronized from AvaiBook.
Offers, extras and supplements: settings such as cleaning fees, parking or other supplements must be managed directly in Expedia.
Minimum advance booking: this must be configured directly in Expedia.
Cancellation policies: these are configured and managed directly in Expedia.
Property content: photos, descriptions, amenities, property rules and other listing content are not synchronized from AvaiBook.
Reservation reconciliations: these must be managed manually.
Reviews and ratings: reviews collected through AvaiBook are not synchronized or published on Expedia and, likewise, ratings received on Expedia are not displayed in AvaiBook. Each platform manages its reviews independently. To prevent both AvaiBook and Expedia from requesting a review from the same guest after their stay, we recommend setting AvaiBook's review request to manual mode, so you can decide which guests to ask for a review and when, or disabling it if you prefer to manage reviews for these reservations exclusively through Expedia. 👉 See How to manage your guests' reviews in AvaiBook.
Changing the room or property for a reservation
If a room or property change is made to a reservation in Expedia, this change is not automatically synchronized with AvaiBook.
AvaiBook will notify you so that you can review the change and manually update the corresponding property in our system, keeping the information consistent across both platforms.
If I remove the connection, will my Expedia listing also be removed?
No. Removing the Expedia connection from AvaiBook does not remove or cancel the listing published on Expedia.
Likewise, removing a property from AvaiBook does not mean that its listing will automatically be removed from Expedia.
If you want to cancel or remove the listing from the portal, you will need to manage this directly through Expedia.
💡 Any changes related to content, capacity, policies or other settings that are not synchronized through the connection must be made directly in your Expedia account.
