How to manage your guest reviews on AvaiBook

In AvaiBook, the review system is activated manually when you register your property. When a traveller leaves their review after the stay, it is processed and presented to the owner, who has the power to decide whether it is published on the property's website. This streamlined process facilitates efficient and controlled review management, ensuring that only the reviews that the owner wishes to share are publicly displayed.

🚨Reviews made through the AvaiBook form are not synchronized with the portals (OTAs) and, similarly, the reviews received on the portals will not be displayed in AvaiBook. Each portal manages and sends its reviews independently, publishing them on their respective extranets. If you'd prefer to avoid AvaiBook and OTAs requesting reviews simultaneously, we recommend setting up submission manually.


Setting up the review module

You can adjust your review settings from the Booking Engine menu → → Review. You will discover three options available to configure this module.

Manual Request

If you prefer to control the timing and who to ask for reviews, you can send an invitation to request a rating for their stay from the Invitations button:

Use the available filters to locate bookings completed in the last 50 days, with email set up and no rating. Click Search, select your bookings, and send your invitation.

An email will be sent to the guest with instructions to rate their stay.

Once the request has been sent to the traveller, you will be able to check from the booking file > Conversations section:

Automatic request

AvaiBook automatically sends an email to travelers two days after their departure, inviting them to rate their stay. You will receive their feedback to manage and respond to.

These requests are sent to the email address available in the booking, either because the traveller has provided it directly in a booking made from the AvaiBook booking engine or because it has been provided through an external platform.

⚠️In bookings from platforms (OTAs), the available email is usually an alias-type address generated by the platform itself to protect the traveller's data and only allow the exchange of communications within its system.

For this reason, some review requests may not reach the guest correctly and, in addition, AvaiBook does not send review requests directly to portals or other connected platforms.

Airbnb

For bookings from Airbnb, it is not possible to send automatic review requests, as Airbnb uses alias-type email addresses to protect the traveler's privacy. This means that AvaiBook does not have access to the guest's actual email address and, therefore, cannot send them the review request.

Booking and other connected platforms

In the case of Booking and the rest of the connected platforms, AvaiBook does not send review requests directly to the portals either. Each OTA manages its own reviews and rating systems independently from their respective extranets.

Request Disabled

Selecting this option disables both automatic and manual review request.
When the configuration is finished, remember to hit the Save button to keep the changes.


How to manage traveller reviews?

Manage and respond to your guests' reviews.

Check the ratings of your travelers on AvaiBook from Conversations → Opinions. Filter reviews by booking or view all by clicking Search.

Click the pencil icon in the Edit column to read each guest's full review and, if desired, leave a review. There you can see the full rating, the rating of different aspects of the property, the average grade and any additional comments.


How do I hide a review?

Hide reviews only when necessary, always preserving trust and transparency with your guests.


When finished, click on Save.



How can I post my guests' reviews?

Post reviews and build trust.

Display the ratings of your AvaiBook guests on your website. Go to Booking Engine → Settings → Reviews and select between Link or Widget to display the ratings.

When choosing Link, you'll need to select:

  1. Accommodation: All or some

  2. Language

Finally, click on copy to get the URL

When clicked, your customers will see a full page of reviews, as shown below.

With the Widget option, you'll need to select:

  1. Accommodation: All or some

  2. Language

You will get a code to embed on your website.

Preview the widgets for your property and select the one that best suits your needs. Then, click Copy.


💡Frequently Asked Questions

Where can these opinions be seen?

The reviews you receive through the AvaiBook reviews module can be viewed by yourself from your private user area. If you have a website, you can show all your reviews to your travelers through a Widget or a link. To obtain them you can access them as follows:

  1. Go to the Conversations Opinions menu.

  2. In the upper right margin you will find the Settings button.

  3. You can choose to display your ratings in the form of a Link or Widget.

  4. Select the option you want, choose one or more accommodations and the language in which you want the reviews to be shown.

  5. Through the Copy button you will get the code to be able to insert it into the interface of your website.

How to search for a review?

If you want to access the list of reviews that your travelers have left you, you can do so as follows:

  1. Go to the Conversations Opinions menu.

  2. You can search for a rating using different filters.

  3. If you click on the Search button, you will see the list of all the reviews that your travelers have left you.

  4. To see all the review data, click on Edit.

  5. You can add a reply for your traveler that will be sent to them by email.

Can I hide a review?

From AvaiBook we always recommend you to be reliable, truthful and transparent. For 48 hours after the traveller leaves the review, the review will be kept hidden on the public review page so that you can respond to or hide it. However, we understand that there may be exceptions.

  1. Go to the Conversations Opinions menu.

  2. You can search for a rating using different filters.

  3. If you click on the Search button, you will see the list of all the reviews that your travelers have left you.

  4. About the rating you want to hide, click on the Edit button.

  5. You must uncheck the Visible check if you want to hide this review from the page where they are published.

How do I respond to a review?

As long as your travelers leave you a review, you can thank and respond to their reviews.

  1. Go to the Conversations Opinions menu.

  2. You can search for a rating using different filters.

  3. If you click on the Search button, you will see the list of all the reviews that your travelers have left you.

  4. To see all the review data, click on Edit.

  5. You can add a reply for your traveler that will be sent to them by email.

Why don't I see a review on the portal?

AvaiBook has its own platform-independent review module (OTA). When a traveler completes a reservation, AvaiBook can automatically send a review request to learn about their experience in the accommodation.

These requests are sent to the email available in the reservation. In direct bookings, the email provided by the traveller himself is usually used. However, in bookings from platforms such as Airbnb, Booking or other OTAs, the available email is usually an alias-type address generated by the platform to protect the guest's privacy.

For this reason:

  • Some valuation requests may not reach the traveler correctly.

  • Reviews managed from AvaiBook are not automatically synchronized or published on portals.

  • Similarly, reviews posted on OTAs are not displayed within AvaiBook.

Each platform manages its own ratings and reviews from its internal system and its respective extranets.

The opinions collected through the AvaiBook module can only be displayed on your website by means of a link or widget.
