Payment and collection process

Every day at 07:55 hours an automatic process is executed to check the balance of your AvaiBook account:

  • If it is positive and exceeds the collection threshold we will make a bank transfer of the payment generated. On the 1st of each month a complete balance is made, that is to say, even if you do not exceed the collection threshold, we will transfer the generated amount.

  • If it is negative, we will generate a credit card payment for you to pay the generated collection.

What is meant by PAYMENT?

The term "PAYMENT" refers to the payment order that our system generates if, after the settlement process, your balance in AvaiBook is positive and can contain:

  • Collection of bookings through our BDP.

  • Payment of returns and invoices.

Our bank issues the payment order to the beneficiary bank (the owner's bank) configured in AvaiBook at the moment of the settlement process.

Therefore, it is important to understand that bank account changes may affect payment orders and that if the account change is made after the settlement process, the payment order is already generated.

Also, it is important to understand that when the process is executed once a day, if there are different days of collections in the reserves, these will be credited to different payment orders.

What is meant by COLLECTION?

The term "COLLECTION" refers to the collection order that is generated when our system detects after the settlement process that your balance is negative, and may contain:

  • 1% commission for management

  • Financial commission (2% - 4%)

  • Payment plans/modules

  • Commission for return, penalty.

The process, in this case, depends on what you have configured in your AvaiBook account:

If your collection process is by bank account:

Each day after the process settles, a collection order will be created that we will issue on a Thursday next to that day. This is known as direct debit, direct debit of payments, direct debit entry, or N19 receipt.

You will receive a charge in your bank account 12 days after the issue with the following concept " PENDING BALANCE COLLECTION" TO MM-DD-YYYYY".

If your payment process is by card:

Every day after the settlement process, a collection order will be created and we will generate a card payment automatically to the card you have configured as favourite in your AvaiBook account. You will receive a charge on your card with the following concept " PENDING BALANCE COLLECTION" TO MM-DD-YYYYY".

We will try this process up to 4 times in case you do not have credit at that moment, and we will notify you by email.

In case that after 4 attempts we are not able to charge you, there are two possibilities:

If you have a bank account configured in AvaiBook and you have not had any other chargebacks in the last 6 months, we will generate a direct debit receipt.

If you do not have a bank account configured in AvaiBook or if you do have a bank account configured, but you have had returns of other collections in the last 6 months, it will be pending to be managed by our BackOffice department.

In both cases, you will be notified by AvaiBook.
