Access for accountants in AvaiBook

If you have contracted a PRO plan or have a Leader plan, you can give access to the system to your accountant with their own email and the system will generate a password for access.

This type of user will have access limited only to the sections necessary for accounting management: Movements and Invoices.


How to Create Accountant Access

To create this type of user, go to the My Users section and select Accounting Access:

Once you complete the information on the creation screen of the accounting user profile, the system will automatically add it to the list of created users.
You will see a confirmation message indicating that the user has been created correctly and that the access password has been sent to the email of the accounting user you registered.

Once the user has been created, the system will automatically send a password to the email address you have registered, and you will have to access the avaibook.com page, click on the "Login" button and enter your email address along with the password received to access your accountant profile.


What to do if the user has not received the password or cannot access it?

If the user is unable to log in with the password received (or cannot find it because the email could have gone to the spam or junk folder), you can easily solve it by requesting a password reset.

Access to the Movements section

In this section, the accounting officer may:

  • Visualize the movements of each reservation.

  • Use different filters to refine the search (if none apply, when you click on "search" you will see all the movements).

  • Check if the amount has already been paid to the owner's account.

  • Review the fees applied to each movement.

  • View the available balance (ready to be settled) and the balance in custody (pending settlement).

You may not:

  • Export the entries to Excel.

Access to the Invoices section

In this section, the accounting officer may:

  • Use filters to locate specific invoices (without filters, when you click on "search" you will see all the invoices).

  • View the invoice by clicking on the eye icon.

  • Print it using the printer icon.

  • Delete it with the trash can icon.

You may not:

  • Edit invoices.

  • Create new invoices.

  • Export invoices to Excel.

In addition, in this section the accountant will find the invoices issued by AvaiBook, either for commissions or for contracting services.
❌ Nor will it be able to export them.

If you try to access one of these restricted sections, the system will display a warning indicating that you do not have sufficient permissions.


What does the message "The user you entered is already registered" mean when trying to create a new one?

If when you try to create a user the system tells you that the email already exists or that the user is already registered, it usually means that that email address was already used previously in AvaiBook.

This usually happens when in the past a user was created with that email and was later deleted. Even if the user is no longer visible on the platform, internally there is a record associated with that email address in our database.

For this reason, the system does not allow you to automatically recreate a new user using the same email.

Alternatively, you can create the user using a new email address that hasn't been used before in AvaiBook.

In case you need to use the same email that the system indicates as already existing, it will be necessary to contact our Customer Service team so that they can escalate the management to the technical department and review the internal release of that record, thus allowing the email address to be reused again.
