Employee Access in AvaiBook

If you have a PRO Plan or a Leader Plan in AvaiBook, you can give access to your employees with their own email and the system will generate a password for access.
In this way, everyone can work independently and safely on the system.


How to Create Employee Access

To create this type of user, go to the My Users section and select Employee Access:

Once you complete the information on the user profile creation screen, the system will automatically add it to the list of created users.
You will see a confirmation message indicating that the user has been created correctly and that the access password has been sent to the email of the employee you registered.

Once the user has been created, the system will automatically send a password to the email address you have registered, and you will have to access the avaibook.com page, click on the "Login" button and enter your email address along with the password received to access your employee profile.


What to do if the user has not received the password or cannot access it?

If the user is unable to log in with the password received (or cannot find it because the email could have gone to the spam or junk folder), you can easily solve it by requesting a password reset.

What an Employee user can do

This type of user will have access to almost all of AvaiBook's tools (except for those that involve significant expenses or changes).

Specifically, it may:

  • Calendar & Bookings
    Create, move or delete bookings, block or unlock dates (only those you have blocked yourself), tag bookings and manage check-in.

  • Conversations
    Create automatic email templates and send emails to guests.

  • Configure accommodations
    Modify rates, configuration options, create offers, manage photos, descriptions and features.

  • Accounting
    Create invoices and receipts, as well as check the movements of your account.

  • Synchronizations
    Access synchronization management.

  • Booking
    Engine Access all engine configuration options.

  • Invoices received
    Consult the invoices issued by AvaiBook.

  • My owners
    View the owner listings for managed listings (but you won't be able to edit them).


What an Employee user can't do

To maintain security and control, the access used will not be allowed to:

  • View or change your tax information or bank account.

  • Change the payout threshold.

  • Consult or modify the accesses of other collaborators.

  • Modify your contracted plan.

  • Validate accommodations with payment methods.

  • Contract the SMS module.

  • You don't have the Revenue Management section available, so you don't have access to it.

If you try to access one of these restricted sections, the system will display a warning indicating that you do not have sufficient permissions.


What does the message "The user you entered is already registered" mean when trying to create a new one?

If when you try to create a user the system tells you that the email already exists or that the user is already registered, it usually means that that email address was already used previously in AvaiBook.

This usually happens when in the past a user was created with that email and was later deleted. Even if the user is no longer visible on the platform, internally there is a record associated with that email address in our database.

For this reason, the system does not allow you to automatically recreate a new user using the same email.

Alternatively, you can create the user using a new email address that hasn't been used before in AvaiBook.

In case you need to use the same email that the system indicates as already existing, it will be necessary to contact our Customer Service team so that they can escalate the management to the technical department and review the internal release of that record, thus allowing the email address to be reused again.
