Configuring Seasons and Special Pricing: Complete Guide

Seasons | Seasonal Prices | Prices for specific dates

Seasons allow you to set specific prices and restrictions for certain times of the year, such as:

  • Christmas

  • Easter

  • High season

  • Long weekends and holidays

This gives you more flexibility to adjust prices based on demand.


Where and how are the seasons configured?

  1. Go to the My Accommodations menu and select the property you want to edit.

  2. Go to the Rates tab.

  3. From here, you can create, edit, copy, or delete seasons.

📌 Access to the seasons depending on the type of accommodation:

  • If your accommodation has a full setup, you'll find the Seasons section directly in the Rates tab.

  • If your accommodation has partial configuration, go to the accommodation page → go to Units & Rates → click on the Rates button for each unit to manage the seasons.

How to create a season?

  1. Click the Create Season button.

  2. Give it an identifying name (e.g., Summer 2025 or Christmas).

  3. Select the date period in which to apply it.

  4. Configure, only if necessary, restrictions such as:

    Day of arrival/departure, Minimum stay, Force weekend.

  5. Click Save

Important:

You can create as many seasons as you want, but they can't overlap.
Example: If you have a season from January 1 to January 10, you can't create another season from January 5 to January 6.

Remember to also configure the price per additional person for each season (it automatically synchronizes with bookings from the booking engine and with Booking in Full Sync mode).


How to copy seasons?

You can copy seasons from one property to another or replicate them for the next year.

  1. On the Rates tab, click on "Copy to others".

  2. A window will open to choose whether to:

    • Copy seasons from one year to the next in the same property.

    • Copy seasons from one property to another.

  3. Select the desired option and click Duplicate.


How to delete seasons?

  1. Go to the Seasons section, within the Rates tab.

  2. Select the season you want to delete.

  3. Click on the trash can icon to delete it.

  4. You can select them all by clicking the tick at the top next to the tooth and then delete them all at once


How to manage days off between seasons?

As bookings come in, isolated days off may remain that do not comply with the restrictions of the main seasons (e.g. minimum stay).
To keep your accommodation bookable on these dates, you can create a specific season for days off

Advantages:

  • Receive bookings even on dates that would otherwise remain blocked.

  • Adapt conditions such as minimum stay, day of arrival/departure or specific prices.

Important:

It is not possible to overlap seasons: it will be necessary to divide the main season into two parts to insert the new one.

Practical example:

Main season: 01/08 – 31/08 with a minimum stay of 5 nights.

After some reservations, only the nights of 10, 11 and 12 August remain free.

Solution:

Edit the main season: 01/08 – 09/08.

Create a new season: 13/08 – 31/08 with the same conditions.

Create a "free days" season: 10/08 – 12/08 with a minimum stay of 2-3 nights.

How do you manage bookings that span multiple seasons?

When a traveler books, the dates may fall into multiple seasons.
In AvaiBook you can decide the management mode according to your business model.

Where to set it up?

  • Go to Accommodations > My Accommodations.

  • Select the property.

  • Access the Options tab

  • In the seasons section, choose one of the 3 available ways.

  • Click Save.

📌 This configuration applies to bookings made by the AvaiBook booking engine and Rentalia.


How to manage seasons in AvaiBook

  1. 🟢 Permissive (depending on the day of arrival)

    Seasonal restrictions regarding the date of arrival apply.

    Includes: minimum stay, mandatory day of arrival/departure and forced weekend.

    Example: Booking July 3–6 → entry season requires 2 nights minimum → ✅ valid.

  2. 🟡 Moderate

    The reservation must respect the most restrictive minimum stay of the seasons involved, but only for the days that belong to that season.

    Example: Reservation 4–9 July → the season requires a minimum of 4 nights (5-8) → ✅ valid.

  3. 🔴 Restrictive

    The strictest: the reservation must respect the minimum stay of each season it goes through.

    Example: Booking July 3–9, →

    • Season 1: minimum 2 nights → ok

    • Season 2: Minimum 4 nights → ok
      → ✅ valid.
